What a refund request email needs to say
Support agents handle hundreds of tickets a day. The requests that get processed fastest let them find your account and act without writing back to ask anything. That means five things, near the top:
- Who you are: the name and email on the account.
- The transaction: the date, the amount and the order, invoice or account number.
- What went wrong, as facts, in one to three sentences.
- The exact outcome: the amount, back to the original payment method, by a date.
- What you'll do if it isn't fixed, said calmly, for firm and final emails.
The generator builds the email in that order from what you paste. Anything it can't find stays in [brackets] and is flagged above the send buttons, so you never send a guess.
Friendly, firm or final notice
Friendly assumes an honest mistake and keeps the door open. It's the right first email for most renewals and billing slips, and it gives a 10-day deadline. Firm is businesslike, sets 7 days, and states your next step in one sentence. Final notice is for when you've already asked: short, a 5-day deadline, and both next steps (a card dispute and a complaint) stated plainly.
None of them threaten, insult or exaggerate. A support agent forwards a calm, specific email to the person who can approve it. An angry one gets the template reply.
Why the address matters as much as the words
Sending a refund request to a no-reply address or a general inbox costs you a week. The generator reads the business's contact, help, billing, refund, privacy and terms pages and lists the addresses it actually finds, with the page each came from and whether the domain accepts mail. Billing and refund addresses rank first, then support. If the business only has a form, you get the form.
When the receipt shows that Apple, Google Play, Paddle or Amazon took the payment, you'll see that first, because the store usually issues the refund, not the brand.
Send it from the email on your account
The business has to match your message to an account, and you want the reply in a thread you control. Use Open in Gmail, Outlook or your mail app, or copy the text. Then mark the case as sent and it will show up in My cases with a reminder when it's time to follow up.
